The Challenge

As Teph Seal rapidly expands operations and franchises along the Eastern seaboard and southern states, the company adds services, employees and overhead costs. TephSeal quickly out grew its paper-to- Excel based data collection, time tracking and invoicing process. Area managers were overwhelmed with paperwork that included work orders, personnel forms and employee payroll. As workloads increased, regional and corporate managers found it difficult to manage the administrative paperwork and timely reporting necessary to make sound business and staffing decisions. In addition, errors and mistakes by field employees led to dissatisfied customers.

The Solution

Teph Seal recognized that automating business processes through the use of mobile handheld devices with synchronization from the field would solve many of their challenges. Before work started on the project, the combined team of Zenware and MobileSpeed met with Teph Seal to walk through the working environment to gather the functional requirements from the perspective of the field services, regional manager and corporate manager. Through this extensive process Zenware developed a detailed system requirements document that outlined the project scope and rollout time frame. With the project scope defined, Zenware’s Professional Services Organization began development by designing the database and synchronization model that would support the mobile requirements and integration mechanisms to seamlessly connect to key back end accounting systems. The development team began simultaneously working on the mobile application and the management web site.

To expedite data entry a third party VIN database was integrated to provide an extensive list of vehicle makes and models. The VIN database was a key component to expedite capturing vehicle data and services rendered. To ensure the decoding technology was robust, the app was tested in wrecking yards to scan hundreds of different vehicles.

Web Dashboard

On the management side, a web based dashboard was developed for regional and corporate managers to configure services, pricing, manage customers, employees and generate real-time business reports. Role based access provide each manager information relevant to their region and customer base . The mobile devices sync service data directly into the web site, including information about vehicles serviced, services rendered, proof of acceptance employee time tracking along with other key business indicators.
